In this position you would provide a quality service to Pitt & Moore clients through timely and accurate administrative support to our lawyers.
About the Role
This is a full-time Personal Assistant role based in the heart of Nelson. You will be providing quality administrative and secretarial support to Pitt & Moore a reputable law firm in the region. This is a crucial role that will allow you to have a direct impact on the smooth running of the business and the productivity of its team.
What you’ll be doing
- Contributing to creating a positive, collaborative and productive work environment
- Documentation – Preparation of documents and notes from instructions including dictation transcription typing and handwritten notes.
- Ensuring current and relevant client information is recorded in LEAP
- Preparing legal documents and forms. Utilising precedents
- Opening new Matter files
- Managing Letters of Engagement
- Maintaining an accurate record of all communications with and work for the client using the practice management system, LEAP
- Billing and Statements
- Assist with general office administration tasks as required
- Diarising appointments, timely reminders of deadlines, filing of documentation, follow-ups with clients
- Preparation of Settlement Statements
What we are looking for
- Can-do attitude
- Team player who can provide back up support to other staff members when required
- Proficient in Microsoft Office, LEAP Practice Management System and other applications
- Literate and numerate
- Analytical
- Understanding of the technical aspects of the team’s practice area
- Excellent attention to detail
- Confidence in dealing with Stakeholders, Clients, Accountants and other external companies.
