In this position you would provide a quality service to Pitt & Moore clients through timely and accurate administrative support to our lawyers. This position would suit someone who sets high standards, has worked at a similar level, and has a passion for Property law.

Key documentation responsibilities will vary depending on the area of the firm you work in.

File maintenance and management responsibilities:

  • Establishment and maintenance of matter records to ensure current and relevant information is recorded in the database.
  • Opening new matter files as required.
  • Maintaining an accurate record of all communications with and work for the client using the
    practice management system.
  • Closing of matter files in a timely manner.
  • Diarising appointments, timely reminders of deadlines, filing of documentation, follow-ups
    with clients.

Billing and statements responsibilities:

  • Managing preparation of billing of nominated authors work for Clients including refinement of narration and preparing, submitting and sending of invoices.
  • Preparation of Statements for reporting to clients.

General responsibilities:

  • Managing workflows, critical dates and team meetings.
  • Turning suitable documents into precedents.
  • Dealing with clients when required.
  • Taking phone messages.
  • Arranging meetings when requested.
  • Relieving on reception as required.
  • Providing back-up support to other support staff members when required.

Successful applicants will:

  • Be able to master the specific requirements of the practice area.
  • Have a can-do attitude.
  • Be a helpful and supportive team player.
  • Demonstrate proficiency in Microsoft Office, InfinityLaw and other applications.
  • Be literate and numerate.
  • Possess analytical skills.
  • Understand technical aspects of the team’s practice area.
  • Have an excellent attention to detail.
  • Be confident in dealing with Stakeholders, Clients, Accountants and other external companies.
